AcornCloud makes invoicing simple and flexible.
You can set up your service to invoice on a weekly or monthly basis, depending on how your fees and funding are structured.
Weekly vs. Monthly Invoicing
Weekly InvoicingCovers a single, specific week.
Ideal for services that bill parents or receive funding on a weekly basis.
Monthly InvoicingMonthly invoices are based on 4-week or 5-week months.
Some months are considered 5-week months when three or more days of the same week fall within that month.
Example:
In October 2025, the first week includes September 29–30, and the last week includes November 1–2 — so October is considered a 5-week month.
Why this matters:
The monthly booking fee stays the same.
NCS and ECCE funding are applied weekly, so in 5-week months you’ll see slightly higher total charges.
This approach ensures invoices accurately reflect how Pobal funding is issued — on a weekly basis.
Running Invoices in AcornCloudGo to the Finance tab and select Invoices.
Click Run Charges at the top-right corner.
Choose whether to generate Weekly or Monthly invoices.
Select the week or month you wish to invoice.
AcornCloud will automatically calculate and create invoices for each child based on their bookings and funding.
Review all generated invoices to make sure the details are correct.
When you’re ready, select all invoices and click Post to apply them to child accounts.
Handling Adjustments or CreditsIf any invoices show a credit balance, you’ll need to record an adjustment to correct it.
Best Practice TipsRun invoices at the same time each week or month to stay consistent.
Always review before posting — adjustments are easier to make while invoices are in draft form.
