Once a deposit has been received, you can either refund it to a parent or apply it toward their childās billing account. Hereās how to handle both scenarios in AcornCloud.
Refunding a Deposit to a ParentOpen the childās profile under Directory ā Children.
Go to the Bookings tab.
On the left-hand side, locate the Deposit section.
On the right-hand side, click Manage Refund.
In the pop-up, fill in:
Refund amount (usually the full deposit)
Refund date
Description (optional)
Toggle on to send a confirmation email to the parent (optional).
Click Update Refund Details to save.
Applying a Deposit to a Childās Billing AccountIf a parent or service chooses to apply the deposit instead of refunding it:
Ensure the deposit has been marked as Transferred to Billing Account.
Go to the Finance tab and open Billing.
Search for the childās name and click to open their billing account.
Click Actions ā Record Payment (top right).
In the pop-up, fill in:
Amount to transfer
Date
Method of Payment: Select Deposit Applied
Comment (optional)
Tap Post Payment.
Best Practice TipsAlways confirm with parents whether they prefer a refund or credit applied before processing.
Keep deposit descriptions clear (e.g., āDeposit refunded via EFTā or āDeposit applied to first month invoiceā).
Remember that AcornCloud records the refund internally, but youāll still need to action the actual payment through your bank.
Double-check the childās billing summary after applying a deposit to confirm the balance updated correctly.
