Funding calendars define when your ECCE or NCS schemes apply during the year. Creating accurate calendars helps ensure funding claims match attendance and payment schedules.
Navigate to the Calendars TabFrom the left-hand menu, go to Schedules → Calendars.
Select the Funding Calendars tab, then click Add Calendar.
Add Calendar DetailsEnter a Calendar Name (e.g. ECCE Calendar or NCS Calendar).
Optionally add a Description to note what the calendar covers (e.g. ECCE will be not run on these dates).
Tap Save and Add Holidays to open your new calendar.
Set Up Your Calendar Rules
NCS CalendarNo closure dates are required.
NCS funding runs all year round.
ECCE CalendarYou’ll need to record the following:
Mid-term closures / Non-ECCE days — mark any days the service is closed.
Bank holiday rules:
Don’t add a bank holiday on its own.
If a Non-ECCE day falls immediately before or after a bank holiday, include both days.
Example: If Monday is a bank holiday and Tuesday is a Non-ECCE day, both should appear in the ECCE calendar.
Mark Funding RecipientsAfter adding a holiday day, choose how funding applies for that week:
Received to Service Only:
Use this when ECCE runs 3 or more days in the week.
The service receives full funding, but children only receive funding for the proportion of days attended.
Example: ECCE runs Mon–Wed → service gets 5 days of funding, child gets 3/5.
None:
Select this option if three or more days in the week are Non-ECCE days.
Funding for the service and the child will apply only to the days ECCE operates, or not at all if there are no ECCE sessions that week.
Save Your CalendarOnce all holidays and funding details are added, tap Save Calendar.
Tap Back at the top right to return to the Funding Calendars tab, where your new calendar will appear.
Best Practice TipsAlways keep separate calendars for ECCE and NCS.
Update your funding calendars annually to reflect new term dates.
