When a child leaves your service, you can archive their profile in AcornCloud. Archiving ensures that all their records and history are safely stored, while keeping your active children’s list up to date.
Open the Children’s ScreenFrom the left-hand menu, go to Directory → Children.
Tap on the child you want to archive.
End Current BookingsGo to the Bookings tab (top of the child’s profile)
Tap the book & pen icon in the bookings section to edit.
Set the End Date as the child’s last day at the service.
This must be a day without a recorded attendance (even an absence)
Tap Update Booking
Repeat for all active bookings until none are ongoing.
Show All ChildrenReturn to the Children’s screen.
Use the Booking Type filter to select All Children.
This is necessary because without an active booking, the child is no longer enrolled.
Archive the ChildIn the list, tap the toggle in the Archived column next to the child’s name.
The child will now move to Archived Children.
Best Practice TipsAlways end all bookings before attempting to archive — otherwise the archive option won’t work.
Use the All Children filter when archiving, to make sure the child is visible without a booking.
Remember: archived children’s data is fully preserved, so you can always refer back if needed.
