You can add new children to AcornCloud in two ways — either by converting a parent-submitted application or by creating one manually on behalf of the family.
Create or Access an ApplicationFrom the left-hand menu, go to Applications under Directory
On the right, you’ll see a Public Form for New Application link
Share this link with parents who want to apply
Once a parent submits an application, it will appear in your Applications List
From the same Applications screen, tap New Application (above the public form link)
Choose to Assign or Create a Family:
If the child has siblings already in your service, select their existing Family from the list
If not, select New Family and enter one parent’s contact details
Once the family has been assigned or created, tap Next
View the ApplicationFind the child’s application in your list and tap View
If the Convert to Child button is greyed out, it means the child doesn’t yet have a Booking Plan assigned. If it isn’t greyed then you can just go ahead and tap that button and ignore the rest of this article.
Add a Booking PlanScroll down to view the child’s proposed schedule (if one was included in the application)
Scroll back up and tap the Bookings tab
In the Bookings/Enrolments box, tap Add Another
Enter the child’s booking plan details
Tap Save Booking at the bottom of the pop-up
Convert to ChildOnce a booking plan is in place, return to the Application
Tap Convert to Child to officially enrol the child into your service
Best Practice TipsDouble-check all booking plan details before converting to ensure accuracy.
Confirm that the child now appears under Directory → Children once enrolled.
For siblings, always use the same Family profile — it keeps contact info and billing streamlined.
Encourage families to use your public form link to simplify data entry and recordkeeping.
