This guide shows managers how to record planned absences for children — for a full week, individual days, and what to do if a child attends unexpectedly on a planned absence day.
Open Children’s SchedulesFrom the menu on the left, go to Schedules → Children’s Schedules.
Mark a Full Week as a Planned AbsenceFind the child and the relevant week.
Tap the pink plane icon for that week.
Click Set as Planned Absence.
Full Week Absence LoggedThe entire week will now be marked as a planned absence.
Mark Individual Days as Planned AbsenceTo mark specific days only, tap the Edit icon on the session of the day the child will be absent.
Click Mark as Planned Absence.
Repeat as NeededRepeat these steps for each additional day the child will be absent.
If a Child Attends on a Planned Absence DaySometimes plans change — and that’s okay!
If a child attends on a day marked as a planned absence, tap the book & pen (edit) icon on that day.
Adjust the hours as needed.
Check the Child InOnce the hours are updated, you’ll now be able to check the child in as normal.
Best PracticeUse planned absences whenever a child will be out in advance (holidays, family leave).
Planned absences help keep attendance, ratios, and funding accurate.
Parents can also submit planned absences through the Parent App, which managers can review.
