This guide shows managers how to send forms or policies to parents and staff, request digital signatures, and track who has signed directly from AcornCloudâs Compliance section.
Open the Forms & Policies ScreenFrom the menu on the left, go to Compliance â Forms and Policies.
Click New Policy at the top right.
Create Your Policy or FormAdd the Policy Name (e.g., Updated Child Safeguarding Policy).
Type a short message that will be sent with it.
Attach any related documents, such as a PDF version of the policy.
Choose RecipientsSelect whether the form/policy should go to Parents or Staff.
Tick the box for Require Signature if you need recipients to sign.
Note: If the Require Signature box is not checked, the recipient will only be able to view the form, not sign it.
Check the boxes next to the names of the recipients youâd like to send it to.
Click Create at the top right.
Track Who Has SignedOnce created, youâll see how many recipients it was sent to and how many have signed.
Open the form to see details â recipients who have signed will show âSignedâ in green text beside their name.
Signing a Form or Policy (Staff / Parents)
Open Your ProfileLog into your staff or parent profile.
Tap your name at the top right and select Profile.
Go to the Documents TabHead to the Documents tab.
Forms and policies sent to you will appear here.
Click on a document to view it.
Review & SignOn the pop-up, youâll see the message from your service, the attached policy, and a place to add your signature (if required).
Once youâve signed, it will update automatically with green text showing Signed.
Best PracticeAlways tick Require Signature for important policies.
Encourage staff and parents to sign promptly so records stay compliant.
Use the Forms and Policies screen to quickly see who still needs to sign.
